Privacy Policy

This policy explains what personal information we collect, why we collect it, who we share it with and what you can do about it. It is written to meet our obligations under the Privacy Act 2020. Last updated 3 August 2026.

What we collect

We only collect what we need to sell you something and get it to you:

  • your name, email address, phone number, and delivery and billing addresses
  • your order details, quotes, enquiries and the messages you send us by email, our website forms, live chat, SMS or WhatsApp
  • where you have asked for installation, the information the technician needs to do the job at your address
  • your account login details if you create an account on our website
  • website usage information such as pages viewed, the device and browser you used, and your approximate location from your IP address

We do not see or store your card details. Card payments are handled entirely by our payment providers on their own systems.

We do not run stores, we have no CCTV, we do not hire out equipment, and we do not offer credit accounts, so we collect none of the information a business doing those things would.

Why we use it

  • to take, process and deliver your order, and to arrange installation where you have bought it
  • to answer your enquiries and give you quotes
  • to handle returns, refunds, warranty claims and complaints
  • to send you order and delivery updates, which are part of the service and are not marketing
  • to send you marketing email, only where you have opted in, and you can unsubscribe from any of it at any time
  • to improve the website and to measure our advertising
  • to meet our legal and tax obligations
  • to prevent fraud and abuse, as described below

Who we share it with

We share only what each party needs, and only for the purposes above:

  • Our suppliers, who in many cases ship goods to you directly. They receive your name, delivery address and phone number so they can send your order.
  • Couriers and freight companies, including NZ Post, Fliway and Aramex, for the same reason.
  • Installation technicians, where you have purchased installation. They receive only what that one job needs. We do not pass one customer’s details to a technician working on a different job.
  • Payment providers, who process your payment and carry out their own fraud checks: HitPay, Fat Zebra, Flik, POLi, Afterpay, Zip, Q Card and Q Mastercard, and Latitude Gem Visa.
  • Service providers who run our systems, such as our email, website hosting, security and customer relationship tools.
  • Analytics and advertising platforms, including Google, where we measure website performance and advertising. You can control this through your browser and through your Google ad settings.
  • Government agencies, courts or regulators, where the law requires it.

We do not sell your personal information, and we do not share it with any parent company, because we do not have one. NZ DEPOT Limited is a New Zealand owned and operated company.

Where it is held

Your information is held on our own server in New Zealand. Some of the service providers listed above store or process information outside New Zealand. Where that happens we take reasonable steps to satisfy ourselves that the information is protected by comparable safeguards.

Declined and cancelled orders

Where we have declined or cancelled an order because of a customer’s conduct, as described in our Delivery and Returns terms, we keep that customer’s email address and phone number for the sole purpose of preventing further orders. Those details are not used for any other purpose, are not shared with anyone, and are removed if the block is lifted.

How long we keep it

We keep order and payment records for seven years, because tax law requires it. Enquiries and quotes that do not turn into an order are kept while they are still useful and then removed. Marketing contacts are kept until you unsubscribe.

Cookies

Our website uses cookies to keep your cart and login working, to measure how the site is used, and to measure advertising. You can block or delete cookies in your browser settings. Blocking the necessary ones will stop the cart and checkout working properly.

Your rights

Under the Privacy Act 2020 you can ask us:

  • what personal information we hold about you
  • for a copy of it
  • to correct anything that is wrong
  • to stop sending you marketing

Email [email protected] and we will respond within 20 working days. We may need to confirm who you are before we release information.

Keeping it safe

Our website runs over an encrypted connection, sits behind a firewall, and administrative access is limited to the people who need it. No system is perfect, so if a privacy breach ever happens that could cause you serious harm, we will notify you and the Office of the Privacy Commissioner as the law requires.

Complaints

If you are unhappy with how we have handled your personal information, email [email protected] and we will look into it. If you are not satisfied with our answer you can complain to the Office of the Privacy Commissioner at www.privacy.org.nz or 0800 803 909.
